Transfer notes that age well
A Cold Storage Ownership Log earns its keep when a stranger can reconstruct a handoff without calling the author. Transfer notes are usually where that reconstruction fails — not because people are careless, but because busy desks optimize for the next ten minutes instead of the next ten weeks.
Name roles, not vibes
“Moved to back room with Jake” collapses under turnover. Prefer “Primary signer: vault duty A; receiving signer: vault duty B; location code BR-2; seal intact on intake.” Roles survive name changes; vibes do not.
Record the clock source

Leave partial moves visible
If only part of a batch moved, say so in the same row family. Silent partials create phantom inventory in the narrative layer even when physical counts later reconcile.
Close with an exception pointer
When something was odd — delayed witness, damaged outer carton, postponed seal check — point to the exception lane instead of stuffing hedges into the main sentence. Future readers skim exceptions first during reviews.
